Back-office automation for Swiss SMEs: what to automate first, with examples
Where the hours go, and which tasks automation can take over first.

Reviewing invoices, filing documents, reconciling bank transactions, compiling reports: all of it is necessary, but none of it directly creates value for clients or the core business.
Where does the time go?
Into small tasks that repeat every day:
- Manual document assignment: Who approved which invoice? Which project does this expense belong to?
- Bank reconciliation: Manually importing camt.053 files into accounting software and matching line items
- Reporting: Consolidating monthly figures from multiple sources
- Document filing: Classifying, naming, and archiving incoming documents
Over a month, the hours add up.
What can automation take over?
Modern automation can help at several points at once.
Document classification
Incoming documents (PDFs, scans, email attachments) are automatically recognised and categorised. An AI model identifies whether a document is an invoice, a contract, a bank statement, or a purchase order, and files it under the right folder and project.
Bank transaction matching
Importing bank data in camt.053 format, the electronic account statement under the Swiss Payment Standards, is a recurring chore. Automated systems read the file, match transactions against open items, and suggest a booking entry, or post it automatically when the match is clear.
Reporting
Instead of copying figures from multiple tools into Excel, automated dashboards pull data directly from the source.
What is specific to Switzerland?
Automation solutions for the Swiss market must meet specific requirements:
- QR-bill: Since 1 October 2022, it has fully replaced the old Swiss payment slips. Every solution must be able to read and create QR-bills, including the payment part
- VAT 8.1% / 2.6% / 3.8%: Switzerland's three VAT rates must be correctly recognised and posted
- Data hosting in Switzerland: If personal data is stored abroad, the Data Protection Act's rules on disclosure abroad apply. Hosting in Switzerland simplifies compliance
Where to start.
Not every SME needs to automate everything at once.
- Measure: How many hours a month go into which tasks?
- Prioritise: Which task is the most repetitive and error-prone?
- Start small: One fully automated process delivers more than many half-automated ones
